Parts Management System

AI-assisted parts quoting and trading

The Parts Management System is for suppliers who sell to insurers and panel shops. AI assists your team in turning a repairer's estimate into a quote, your people check and price every line, and the system carries the sale through to invoice and delivery.

Every parts quote starts the same way: someone reads a repair estimate and types the parts into a system, line by line, before a single price is asked for. In the Parts Management System, AI assists with that typing. Upload the estimate, and suggested part lines are waiting for your team to check, correct and price.

From there the system carries the work through: supplier prices and your markup rules, the quotation, and on acceptance the sale, invoice, picking slip and delivery note. Every step is logged, and requests from insurers’ claims arrive without anyone retyping them.

How it works

How a parts quote moves through the system

  1. Request

A parts request arrives from the Claims Management System, or the estimate is uploaded.

  2. AI assist

AI reads the estimate and suggests the part lines; your team checks and confirms each one.

  3. Price

Suppliers' prices come in and your markup rules are applied line by line.

  4. Quote

The quotation is sent to the customer and followed up until accepted.

  5. Sell and deliver

The accepted quote becomes the sale, invoice, picking slip and delivery note.

FAQ

Questions about Parts Management System

Does the AI do the quoting?

No. It assists your team. AI reads a repairer's estimate, as an uploaded document or a request from a claim, and suggests the part lines for the quote. Your people review, correct and price every line, and nothing is sent until they approve it. The AI saves the typing; the decisions stay with your team.

Do we pay for the AI separately?

AI usage is recorded call by call, so you can see exactly what it costs. It can be billed at cost plus a markup or included in your licence. We'll agree which when we set you up.

Who is the Parts Management System for?

Parts suppliers and traders who quote insurers and panel shops, especially those receiving parts requests from motor claims.

Which documents does it produce?

Parts pricing requests, quotations, pro forma invoices, sales invoices, picking slips and delivery notes, as PDFs.

Does it connect to the Claims Management System?

Yes. Requests arrive from claims and the quotation goes back to the claim, so nobody retypes a quote.
